Conference Web Site Design
One option to consider is Open Conference Systems (OCS), a free and easy-to-use web publishing tool for creating conference websites. For examples of APICS use, see recent AUPAC (APICS Universities Physics & Astronomy Conference) events: 2007 | 2008

OCS includes the ability to receive abstracts and online registrations, and is customizable with your own graphics. You can download OCS software here.

After the Conference

1.

Submit award winners within one week of the conference to apics@dal.ca
Award winners are posted to the APICS website and announced in the APICS newsletter. Please use the following two forms to collect the data needed:
  • Conference award recipient information collection form - this master form should be completed by the conference coordinator and emailed to apics@dal.ca as soon as possible after the conference
  • Information and Photograph Release Form - permission must be obtained from award recipients to use their personal information (including photos if applicable) for any purpose, such as on websites or to give to sponsors. This form should be completed by each award recipient before they leave the conference. Please ensure they complete the mailing address section with a permanent address and sign the form.
Either scan and email the signed forms or keep copies and send the originals by mail to: Atlantic Provinces Council on the Sciences, 1390 LeMarchant Street, Halifax, NS B3H 3P9. Please note that completing this form is voluntary and will not affect receipt of the award, only the announcement of who received the award.

Photos - If you have any photos, please identify the individuals by name and send .jpgs to apics@dal.ca. Once we’ve received the signed release forms, we will announce the award recipients and put their names and photos on the website.

2.

Submit your final report within two months of the conference
Please submit the following information to the APICS office and to your Committee Chair:
  • Attendance Summary - please use this spreadsheet to collect attendance data. This information is collated with other conferences held during the school year and provided to all participating schools.
  • Final report (preferably an electronic version)
  • Final financial statement

3.

What to do with surplus funds
If you have a surplus after all expenses are paid, excess funds should be returned to the APICS office for holding for next year’s event. Please refer to the APICS Holding Account Policy for more details.
